The weight you type at booking is a promise to the courier. Keep it and you pay what you were quoted. Break it and you pay a discrepancy charge, wait out a dispute, or both. Accuracy here is not about honesty; it is about having a process that produces the right number every time, without the packer thinking about it.

Declared weight comes from a process, not a guess

What the courier compares against

At the hub, the parcel is weighed and measured. The chargeable weight from those readings is compared with the chargeable weight from what you declared. If the measured figure lands in a higher slab, you are charged the difference. So the declaration that matters is not the weight alone; it is the pair of weight and dimensions, because either can move the slab.

A declaration is accurate when the sealed parcel’s dead weight is within a few percent of the declared weight, and its outer dimensions are within a centimetre of the declared dimensions.

The five ways declarations go wrong

Bare product weight. The supplier’s listing says 350 g, so 350 g is declared. Packed, the parcel is 520 g. That is a slab.

Stale SKU data. The product was re-formulated, the box changed, the insert was added, and the weight on the SKU record is from a year ago.

Dimensions left blank. With no dimensions, the platform computes chargeable weight from dead weight alone. The hub measures the box. On anything bulky, the hub’s figure wins.

Wrong box. The SKU record says 28 x 22 x 6 cm; the packer ran out and used 30 x 25 x 10. Nobody updated the booking.

Rounding down. 0.52 kg declared as 0.5 kg to stay in the lower slab. The hub does not round down.

The process that fixes all five

Per-SKU master data. Every SKU carries its packed weight and packed dimensions, measured on your scale in your standard pack. The booking pulls from this record, so the packer never types a weight.

Measure on receipt, not from the listing. When a new SKU arrives, pack one as it will ship, weigh and measure it, and record that. Takes two minutes and is done once.

Standard pack per SKU. Assign the box or mailer per SKU and print it on the pick list. If the packer has to deviate, the booking must be updated before dispatch; make that a rule.

Weigh at the dispatch station. A Rs 2,000 platform scale at the packing bench catches every mismatch. The packer sees 0.61 kg on a parcel declared at 0.5 kg and corrects it before the rider arrives.

Re-measure quarterly. Products change. A quarterly spot check of the top fifty SKUs catches drift before it becomes a discrepancy pattern.

Multi-item orders

A three-item order does not weigh the sum of three SKU weights, because it ships in one pack, not three. Either compute the packed weight for common bundles and store them, or let the dispatch scale be the source of truth for anything with more than one item. Dimensions likewise: the box for a three-item order is a decision the packer makes, and the booking must reflect the box that was used.

Reading your discrepancy history

The discrepancies page on Courier Uncle lists every one with declared versus measured. Export it and pivot by SKU. The pattern tells you which of the five failures you have:

The number that says you are done

Discrepancies as a share of shipments. Under 2 percent is good; under 1 percent is excellent. Above 5 percent means one of the five failures is systematic, and the disputes page will show which.

Frequently asked questions

Should I declare a bit high to be safe?

No. Declaring 0.6 kg for a 0.48 kg parcel does not put you in a safer slab; both are the 0.5 kg slab. Declaring 1.1 kg for a 0.9 kg parcel moves you up a slab you did not need to be in. Declare what the parcel is.

What tolerance do couriers allow?

Couriers charge only when the measured chargeable weight crosses into a higher slab. A parcel declared at 0.48 kg and measured at 0.50 kg is the same slab: no charge. The practical tolerance is the distance to the next slab edge.

Can I declare in grams?

Weight is declared in kilograms with up to three decimals on Courier Uncle, so 0.485 kg is fine. The hub’s scales read to 10 g or better.

Do I need dimensions for a poly mailer?

Yes, always. A mailer’s volumetric weight is small, but the platform computes it and the hub measures it; declaring it means the numbers match. Leaving dimensions blank leaves a gap for the hub to fill.

What if the courier’s hub reading is simply wrong?

Dispute it within seven days with a scale photo, dimensions and the manifest. Evidence that matches your declaration resolves it. Accurate declarations are what make that evidence convincing.

How do I bulk-update weights across my catalogue?
