Volumetric Weight: Why a Light Parcel Gets a Heavy Bill

Your parcel weighs 400 grams. The courier billed you for 2 kilograms. Nothing was weighed wrongly; you were charged for the space the parcel took up rather than what it weighed. That is volumetric weight, and it decides the slab on a large share of e-commerce parcels in India, because most of them are light and boxy.

The formula

Volumetric weight (kg) = Length (cm) x Width (cm) x Height (cm) / 5000

The 5000 is the “dimensional factor”. It says that 5,000 cubic centimetres of space is worth one kilogram to the carrier. Almost every domestic surface service in India uses 5000; some air and international services use 4000 (which makes bulky parcels dearer) or 6000.

The courier then bills the higher of the volumetric weight and the dead weight (the parcel on a scale). That higher figure is the chargeable weight.

Why carriers do it

A truck fills up before it gets heavy. A vehicle that can carry 2,000 kg will run out of floor space long before it runs out of payload if it is full of pillows. Volumetric weight is the carrier’s way of charging for the constraint that actually binds: cubic capacity. It is not a penalty. It is the same reason airlines care about your bag’s size, not just its weight.

On a typical Zone C card those three slabs cost roughly Rs 52, Rs 118 and Rs 145. The product is identical. The difference between the first and the last is Rs 93 per order, which on 500 orders a month is Rs 46,500. Packaging is a pricing decision.

Where volumetric weight bites hardest

  • Apparel in boxes. Light, and boxed for presentation. The presentation costs a slab.
  • Home decor and kitchenware. Bulky shapes with air around them.
  • Toys, stationery, pet supplies. Irregular shapes that force a large outer box.
  • Anything with protective void fill. Bubble wrap and paper add centimetres, not grams.

Where it rarely matters: books, cosmetics in small tubes, jewellery, dense electronics. Those parcels are heavier than they are big.

Reducing volumetric weight without damaging the product

Measure the product, then choose the box, not the other way round. Most sellers buy two or three box sizes and use the smallest that fits. The result is a lot of air. Six or seven sizes, chosen against the actual SKU distribution, cuts the average volumetric weight sharply.

Use mailers where the product allows. A poly or paper mailer adds almost nothing in any dimension. Soft goods, flat goods and anything already in retail packaging usually ship safely in one.

Reduce height first. Height is the dimension most often padded. A 30 x 25 box at 10 cm is 1.5 kg; at 6 cm it is 0.9 kg. Same footprint, different slab.

Kill the outer box. If the product’s own retail box is sturdy, ship in it with a label and a strap. Double boxing is the most common cause of a two-slab jump.

Round down at the slab edge. If a parcel computes to 1.04 kg volumetric, a 2 cm reduction in one dimension brings it under 1 kg. Know your slab edges and design boxes to sit just below them.

Declaring it correctly

At booking, enter the dead weight in the weight field and the real outer dimensions in the dimension fields. The platform computes the volumetric figure and the chargeable weight. Do not enter the volumetric weight as the weight; the hub will measure the box anyway, and a declaration that matches the physical parcel is your protection in any dispute.

The courier’s hub re-measures every parcel. If the dimensions you declared are smaller than the box, the difference is charged as a weight discrepancy. If they are accurate, there is nothing to charge.

Is volumetric weight charged on every parcel?

It is computed on every parcel. It is charged only when it exceeds the dead weight. Dense parcels never see it.

Which divisor does Courier Uncle use?

Do I round dimensions up or down?

Measure the outer dimensions to the nearest centimetre and use that. Hubs measure the same way. Rounding down to game the slab gets caught at the hub and charged as a discrepancy.

Does the courier measure every parcel by hand?

Larger hubs use automated dimensioning scanners that measure and weigh in one pass. Smaller ones use a tape and a scale. Either way, the measurement is recorded against the AWB.

What if my product is irregular in shape?

Measure the smallest rectangular box it fits in. That is what the hub measures. A rolled poster is measured as a cylinder’s bounding box, not its volume.

Can I get the dead weight to count instead if I pay more for a heavy product?

The rule is always the higher of the two. A heavy product in a small box is billed on dead weight; a light product in a big box on volumetric. There is no override; the lever is the box.
