Weight Discrepancy: How to Read One, and How to Win the Dispute

A weight discrepancy notice is the courier saying: we weighed your parcel at the hub, it was heavier or bigger than you declared, and here is the difference. Sometimes they are right. Sometimes the scanner caught a neighbouring parcel or a loose flap. This guide is how the process works on Courier Uncle, what a good dispute looks like, and how to stop discrepancies arriving in the first place.

What actually happens at the hub
Every parcel a courier picks up passes through a hub where it is weighed and, at larger hubs, dimensioned by a scanner. The reading is recorded against the AWB. The courier’s system compares it to what was declared at booking. If the measured chargeable weight lands in a higher slab than the declared one, the courier bills the difference to the platform, and the platform raises a discrepancy on your shipment.
The charge is the slab difference, not the weight difference. Declared 0.5 kg, measured 0.7 kg, is a jump from the 0.5 kg slab to the 1 kg slab: on a Zone C card, Rs 52 to Rs 78, so Rs 26 plus GST. Declared 0.5 kg, measured 0.49 kg, is the same slab: nothing.
What you see on Courier Uncle
The shipment gets a discrepancy record with:
- The weight and dimensions you declared, and the chargeable weight they gave.
- The weight and dimensions the courier measured, and the chargeable weight that gives.
- The slab difference in rupees, shown as an amount on hold.
- The courier’s evidence, where the courier supplied it (a scanner reading or a hub photo).
- A deadline: seven days from the notice.
The amount is held, not yet charged. Within the seven days you do one of two things.
Option one: accept
If you look at the numbers and the courier is right (the packer used a bigger box, the declared weight on the SKU was stale), accept it. The held amount is debited from the wallet and the record closes. Then fix the SKU’s declared weight or dimensions so it does not recur; a discrepancy that repeats on the same product every week is a data problem, not a courier problem.
If you do nothing for seven days, the discrepancy is accepted automatically and charged. Silence is acceptance; do not let the deadline pass on one you disagree with.
Option two: dispute
A dispute needs proof, and the proof has to be something an ops team on either side can open and check in a minute. On Courier Uncle a dispute requires a public link (a Google Drive folder set to “anyone with the link can view”) containing:
- The parcel on a scale, with the reading visible and the label or AWB visible in the same frame.
- The packing video showing the product going into the box and the box being sealed, or failing that, dated photos of the packed parcel with a tape measure across each dimension.
- The manifest or pickup sheet showing the declared weight at handover, ideally signed by the rider.
Add a sentence in the dispute reason saying what you believe the correct chargeable weight is and why. “Parcel weighed 0.48 kg on our scale (photo 1), box is 28 x 22 x 6 cm (video), volumetric 0.74 kg, declared 0.75 kg” is a dispute that gets resolved in your favour. “Weight is wrong” is not.
The platform takes the dispute to the courier. If the courier withdraws it, the hold is released and nothing is charged. If the courier stands by the reading and the evidence supports them, the charge is applied. Either way you are told the outcome and can see the reasoning on the record.
What makes a dispute succeed
Ops teams see hundreds of these. The ones that succeed share three properties: the evidence is dated on or before the pickup, the AWB is visible in the photos, and the numbers in the reason match the numbers in the evidence. A photo of a different parcel, or a scale reading with no label in shot, does not establish anything.
The ones that fail usually fail because the seller’s own evidence shows the courier was right: the box in the video is visibly larger than the declared dimensions.
Preventing discrepancies
Most sellers can get their discrepancy rate under 2 percent of shipments with four habits.
Weigh every SKU packed, not bare. The declared weight should be the sealed parcel. Store it on the product.
Measure the box you actually use. Store outer dimensions per SKU, and when the packer switches to a different box, the booking must change with it.
Round nothing down. A parcel at 0.52 kg is in the 1 kg slab. Declaring 0.5 kg saves Rs 26 today and costs Rs 26 plus GST plus a dispute later.
Watch the repeat offenders. Export the discrepancies list and pivot it by SKU and by courier. A SKU that shows up every week has the wrong declared weight. A courier that shows up far more than the others on similar parcels is worth a conversation, and the platform’s ops team has the same view.

How long do I have to dispute?

Can I dispute without a video?
Yes, if you have dated photos with the parcel on a scale and a tape across the dimensions, with the AWB visible. The video is the strongest single piece of evidence, so a fixed camera over the packing station pays for itself quickly.
What if the wallet cannot cover the charge?
The charge is applied and the wallet goes negative; new bookings pause until it is back above the floor. Keep a buffer so a discrepancy never blocks a live order.
Why was the discrepancy raised days after delivery?
The hub reading reaches the platform when the courier’s billing file does, which can be several days after pickup. The seven-day window starts when the notice is raised on the platform, not when the parcel was scanned.
Is the discrepancy charged with GST?
Yes, 18 percent, like any courier service charge. It is claimable as input credit if you are registered.
Can a discrepancy go the other way, in my favour?
If the hub measures lighter than you declared, some couriers credit the difference; most do not. The practical answer is to declare accurately so there is nothing to correct in either direction.
